I can't remember if JK has mentioned this in the books or in an interview, but I certainly read it somewhere.
The points are recorded in Giant Hour Glasses (that is how they can see them) although I can't recall being told where these are or exactly what they look like. I would imagine they are somewhere obvious like the entrance hall but I would have thought they would have been pointed out to us by now if they were (or have they?)
In reply to your question about how the point are recorded, I am very inclined to agree with the idea that they are automatically tallied up as the teacher says they words. It kinda makes sense, because of it being a magic school, that the teachers wouldn't need to go and type in the amount of points or whatever. You can just imagine the hour glasses constantly moving as the children are walking past, I think it would kinda add to the atmosphere and "magic in the air" so to speak. It would also certainly fit with the idea of Hogwarts that JK has given us.
